STATION 02 / THE PROBLEM
Where does the margin go?
The expensive version of this problem is ordinary. A change order never gets priced. A count is wrong. A machine is billed while it sits. A document arrives late and the cargo waits. The spreadsheet and the group chat still look fine until the margin, the safety record, or the money is already gone.
This station is the operating system for that kind of business. Call it inventory software when the problem is stock, and a custom ERP when the books, the crews and the field have to share one record. Physical work, crews that are not in one room, rules that do not forgive a wrong record, margins that leave no slack. A shop can be one screen inside it. The shop is not the point.
Sounds like you if
- The cost of the job shows up weeks after the work
- The field and the office keep different versions of the same day
- A wrong count, a late document, or an idle machine costs real money
- Only one person can say what happened yesterday
STATION 02 / FIND YOUR INDUSTRY
Which loss sounds like yours?
Operating software earns its place where the work is physical, the crews are scattered, the rules are strict, or the margin is already thin. Pick the closest one.
01 / CONSTRUCTION
Construction and heavy contracting
Why it hurts
Subcontractors, hired plant, material prices that move, inspections, and weather. The job cost arrives weeks late, and the overrun is already in the ground.
On a Ghana site, a change is often agreed on the phone before anyone prices it.
What it unlocks
- Job cost while the work is open: labour, machine hours and materials against the milestones you priced.
- Field and office on the same record: daily logs, requests for information, change orders and punch lists.
- Machines scheduled across sites, so hired plant is not billed while it sits.
02 / FREIGHT AND LOGISTICS
Supply chain, freight and logistics
Why it hurts
The margin is already thin. Customs, congestion, detention and fuel leave no slack. One wrong tracking update, or a bill of lading that arrives late, holds the cargo and the demurrage clock starts.
In Ghana that often means Tema, customs, and cargo that cannot move until the paperwork does.
What it unlocks
- One milestone view for the shipper, the carrier and the consignee.
- Dispatch and load matching that consolidates freight and cuts empty return miles.
- Waybills, customs manifests and commercial invoices produced from the same record.
03 / WAREHOUSING
Warehousing, distribution and inventory
Why it hurts
Many SKUs, more than one store, and a promise to fulfil fast. A manual count invents stock that is not there, or hides stock that is. The order waits, or the dead stock stays.
A wrong count in Accra and another in Kumasi is two stock problems, not one. This is the multi-branch case.
What it unlocks
- Bin, serial, lot and batch, read by barcode or RFID.
- Pick, pack and ship paths that do not cross themselves.
- A forecast that reorders before the shelf is empty.
04 / FIELD SERVICES
Field services and trade contracting
Why it hurts
A crew in vans, appointments that move, parts used and never billed, hours that never get written down. Send the wrong person and the job, and the invoice, wait.
The van is between jobs. The part that was used never reaches the invoice, and the cedi margin goes with it.
What it unlocks
- Dispatch by skill, where they are, and whether the part is on the van.
- Quotes, parts, signatures and payment written on the job, before the van leaves.
- Recurring maintenance, warranties and inspection reminders that do not depend on memory.
05 / HEALTHCARE
Healthcare and clinical practice
Why it hurts
The work is regulated, and a wrong code or a wrong record is not a small mistake. Appointments, credentials, denied claims and privacy rules all sit on the same desk.
Patient records in Ghana sit under the Data Protection Act, 2012 (Act 843). The system has to show who saw what.
What it unlocks
- Eligibility, coding and claims that go out clean.
- The record, the lab order, the diary and the remote visit in one place.
- An audit trail that can say who saw what.
06 / REAL ESTATE
Real estate and property assets
Why it hurts
Leases in different folders, maintenance that arrives as a phone call, tenants who leave, and vendors paid from a spreadsheet.
Rent is collected in cedis. Identity checks often start with a Ghana Card, and the lease is still in a folder.
What it unlocks
- Rent collected, reconciled and reported, with late fees applied the same way every month.
- Work orders tied to the vendor contract, raised before the failure.
- Renewals, rent steps and occupancy visible before the lease runs out.
07 / MANUFACTURING
Contract and discrete manufacturing
Why it hurts
The bill of materials, the machine capacity, the supplier lead time and the quality check have to agree. When they do not, the line stops or the scrap pile grows.
A supplier lead time that slips, and a quality check that lives in another book, stops the line the same way here as anywhere.
What it unlocks
- Material planning that matches what the line will actually use.
- A defect traced to the batch, the supplier or the machine run.
- Output, downtime and maintenance seen before the machine fails on a shift.
Where the loss usually sits.
The metric is what the software is built to move. It is not a result from a PED project.
| Industry | Main bottleneck | Core metric improved |
|---|---|---|
| Construction | Untracked change orders and job costs | Gross margin per project |
| Logistics and freight | Fragmented carrier and customs tracking | On-time delivery and demurrage |
| Warehousing | Mispicks and inaccurate counts | Order cycle time and inventory turns |
| Field services | Idle travel and unbilled parts | Billable hours per technician per day |
| Healthcare | Rejected claims and admin lag | Days in accounts receivable |
| Real estate | Manual tenant billing and reactive maintenance | Occupancy and net operating income |
| Manufacturing | Material stockouts and production bottlenecks | Cycle time and scrap rate |
CEDIS / MOMO / PAYMENTS
Cedis, MoMo and payments built in.
The record is in cedis. Mobile money goes through Hubtel or PaySwitch. Card and international payments go through PayPal or Stripe, so a sale and the money that paid for it can sit on the same desk. BYOB is the published proof of that kind of system: dispatch, warehouse and sales operations, with Android apps for the people who scan, sell and ride.
BYOB's dispatch and warehouse portalsare the operations proof.Equipment Hubis the multi-portal marketplace.Custom software versus ready-made toolsis the fork, if a package still does the job.
STATION 02 / WHAT YOU GET
What lands on your desk.
- 01
One record for the floor and the office
The people on site and the people at the desk look at the same job, the same stock, and the same status. Not three spreadsheets and a group chat.
- 02
The numbers while the job is still open
Labour, materials, machine hours and parts against the budget you priced, while there is still time to act.
- 03
Dispatch that matches the work
Who goes, with what skill and what part, and what they logged before they left the site.
- 04
A trail that survives the shift
Change orders, inspections, handovers and claims written down so the next person does not have to phone around.
AN ORDINARY SHIFT
The questions the software has to answer.
This kind of software is judged on a Tuesday, not in a demo. These are the questions it has to settle for whoever is on shift.
- What did this job cost?
- Labour, materials and machine time against the milestones, while the job is still open.
- Who is on it, and with what?
- The crew, the van, the machine or the part, visible to the desk without a phone call.
- Where is the thing?
- The stock, the asset, the file or the load, in one lookup.
- What happens next?
- The handover, the inspection, the claim or the renewal, with an owner.
What this station is not
- Not a brochure site. A website from GH₵4,499 is Station 03.
- Not a shop. A storefront can be one screen inside a larger system. It is not this station.
- Not a fixed package. Operations software is scoped per project.
- Not AI automation. Taking chores off a desk with AI tools is Station 04.
STATION 02 / HOW IT RUNS
Plan, design, build, launch.
Timeline
Set after a call.
These jobs vary, from one desk for a yard to a full set of portals and field apps, so there is no standard number to quote. We agree a plan and a timeline before work starts.
01
Plan
Walk how the work really moves. Name the loss, the margin leak, the safety gap or the revenue that never gets billed, and choose the first desk.
02
Design
The desk and the field screens, drawn with the people who will use them on shift.
03
Build
The web desk and the phone apps, built in the open so the team can try them while they are still changeable.
04
Launch
Brought in beside the current way of working, with a plain list of what is next.
STATION 02 / RELEVANT WORK

STATION 02 / BEFORE YOU ASK
Honest answers.
01What is operations software?
Operations software is one system that the people on site and the people in the office both work from. Jobs, stock, crews, dispatch and compliance sit on the same record. PED Solution Studios in Accra builds it for businesses with physical work, scattered crews, strict rules or thin margins, and scopes each project after a call.
02Which industries does PED build operations software for?
Construction and heavy contracting, freight and logistics, warehousing and distribution, field services, healthcare and clinical practice, real estate and property, and contract manufacturing. Each project is scoped after a call. There is no package price.
03How much does operations software cost?
PED Solution Studios does not publish a package price for operations software or ERP. Each system is scoped per project after a call, once the first version is agreed. Which sites, which teams, and which records it must hold on day one. The only fixed prices on the site are for websites.
04Does it cover inventory across branches?
Yes, when that is the job. Bin, serial, lot and batch, and stock that has to agree between branches, are part of what this station is scoped to do. BYOB is the published warehouse and dispatch desk.
05How does healthcare data protection fit?
PED supports and complies with Ghana's Data Protection Act, 2012 (Act 843). A clinical system needs an audit trail that can say who saw a record. That requirement is part of the scope when the work is healthcare.
06Is this an online shop?
A shop can be one screen. This station is the system around the work itself, sites, stock, crews, routes, leases, claims. If all you need is a storefront, say so and we will point you at the right station.
07Can it work on phones for people in the field?
Yes, when the job has a field. BYOB's warehouse, sales and delivery apps are Android apps on Google Play.
08Do you replace the tools we already use?
Sometimes. Sometimes the new software sits next to them. We start by mapping how the work really moves, then decide.
09Can we start with one desk instead of everything?
Yes. Picking the first desk is part of the plan. Most of the risk is in trying to build the whole operation at once.
10What do you need from us?
Time with the people who do the work. They know where the margin leaks. A plan written without them tends to miss it.
NEXT / OPERATIONS SOFTWARE
